Getting your RAU Unicard
If you are a new student, you will collect your RAU Unicard at your Part 2 Onsite Registration session during Induction Week. You will need to have completed your Part 1 Online Self-Registration, uploaded your University photo and made arrangements to pay your Tuition fees.
If you are a returning student, you can also collect your RAU Unicard at your Part 2 on-campus Registration session. You, too, will need to have completed your Part 1 Online Self-Registration and made arrangements to pay your Tuition fees.
All students will need their RAU Unicard to access their allocated car parking area.
New staff will have their University photograph taken and receive their Unicard as part of their first-day Induction.
Your University Photo
Both students and staff can upload new photos for use on their RAU Unicards.
To upload a new photo:
- New students should log into My RAU and go to My Application tab and My Profile
- Existing students should log into the Student Portal and click the ‘My University Photo’ link.
- Staff should go to the ‘I want to’ section of the Intranet Home page and click the ‘Upload a new photo’ link.
A suitable photo for upload should be:
- in colour
- clear with good contrast, in focus
- with a natural expression (smiling is acceptable)
- recent, ideally less than one month old
- your head and shoulders only
- you must be facing directly towards the camera
An unsuitable photo for upload would be:
- if you are wearing hats, headgear or sunglasses
- if your face is not fully visible or obscured by hair or other items
- if you’re before a non-plain background
- if your photo shows a time/date stamp
- if your photo has flash glare and ‘red-eye’
Reprinting or replacing a lost RAU Unicard
You will usually be charged a fee of £5 for reprinting your RAU Unicard with a new photo or printing a replacement for a lost card.
Replacement cards for students can be obtained from the Porters Lodge and Staff from the People Team
University Photo Usage
Photos will be used only for identification purposes, and due care is taken to ensure that any system using photos does not allow for selection (and hence discrimination) based on a person’s appearance.
Photos will only be viewed by university staff and/or representatives who have reasonable cause to identify the individuals in question (or to help in the maintenance of such photos).
Duplication of photos will be avoided where possible (to ensure that only the most up-to-date photo is used, and to prevent unnecessary duplication of personal data).
Photos will not be sent to third parties without the explicit consent of the subject.
Other uses for a photo (for example for public display on the University website) will require the explicit consent of the subject.
The following information is for students or staff who wish to wear a religious dress that fully or partially obscures the face (such as a niqab or burqa). Any requests to confirm the identity of such persons will be made in a sensitive manner with dignity, courtesy and respect.
Generally, you will not be required to provide facial identification every time you use your RAU Unicard. For example, this may not be required when entering an access controlled building or when borrowing or returning library books.
However, there are occasions when you may be requested to show your RAU Unicard photo and reveal your face temporarily for identification purposes. If you are required to remove facial coverings, you may request for your identity to be checked by a female member of staff and in a discreet area.
Your photo will be stored in our central database and, if you are a student, in our Student Record System (Quercus).
Generally, photos will only be accessible to staff who have been identified as requiring access to this information and will only be used for legitimate University business.
